Terms of service

These terms are a contract between you and Workabout Office Solutions Limited, company number 14779506, registered at 2 Burgon Street, London EC4V 5DR (“Workabout”, “we”). By creating an account or making a booking you agree to them.
1. What Workabout is
Workabout is a marketplace. Providers list workspace — desks, offices, meeting rooms and event spaces. Bookers find and book that space. We provide the platform, take payment and support both sides.
2. Your account
You need an account to book or list. Keep your sign-in details safe: you are responsible for what happens under your account. Tell us straight away if you think someone else has used it.
If your employer set up your account, your bookings may be limited by budgets and rules your employer controls. Your employer can see bookings made on its plan.
You must be 18 or over and give us accurate information.
3. How a booking works
When you book a space, you enter a contract with the provider for the use of that space. Workabout arranges the booking and takes payment as the provider’s commercial agent. We are not a party to the workspace contract itself — the provider is responsible for the space matching its listing.
A booking is confirmed when you see the confirmation screen and receive the confirmation email. Some spaces need the provider’s manual approval first; those show as pending until the provider accepts.
4. Prices and payment
The price you see at checkout is the total you pay. It includes the provider’s price for the space plus Workabout’s service charge. You pay when you book, by card, through our payment provider Stripe.
Providers pay Workabout a referral fee on each booking. The fee is deducted before the provider is paid.
5. VAT and invoices
All prices on Workabout include VAT where it applies. The price you see is the price you pay.
Workabout Office Solutions Limited is VAT-registered (VAT number 439 2828 65). Where a receipt or invoice is needed for a booking, we issue it as agent for the provider, showing VAT where it applies. You get a payment receipt by email when you book. Business customers get a statement of their bookings each month for their records.
6. Cancellations and refunds
Each listing shows its cancellation window. Unless the listing says otherwise, the window closes 24 hours before the booking starts.
If you cancel before the window closes, you get a full refund, including our service charge, back to your original payment method. Refunds go through Stripe and normally arrive within 5 to 10 working days.
If you cancel after the window closes, or you do not show up, there is no refund and the provider is still paid for the booking.
If the provider cancels your booking, you always get a full refund, whenever it happens. Providers who cancel late also pay a penalty (section 8), because a late cancellation lets you down hardest.
If the space is materially not as listed, tell us within 48 hours and section 10 applies.
7. Rules for bookers
Use the space as a reasonable guest: respect the property’s opening hours, capacity limits and house rules shown on the listing. You are responsible for damage beyond normal wear and tear caused by you or your guests. Do not use a booking for anything unlawful.
8. Rules for providers
By listing a space you confirm that:
- you have the right to offer it for the uses described
- your listing is accurate — photos, capacity, amenities, opening hours and price
- the space is safe and complies with the law that applies to it, including health and safety and fire rules
- you hold the insurance appropriate to hosting guests
You set your own prices and cancellation window within the options the platform offers. Your prices include VAT where it applies. You must honour confirmed bookings; repeated provider cancellations can lead to delisting.
If you cancel a confirmed booking, the booker is refunded in full and the following applies:
- more than 72 hours before the booking starts: no penalty, but you are not paid for the booking
- between 72 and 24 hours before: you pay a penalty of 50% of the amount the booker paid, plus VAT
- less than 24 hours before: you pay a penalty of the full amount the booker paid, plus VAT
We deduct penalties from your next monthly payout, or invoice them separately, payable within 30 days.
We pay providers monthly, in arrears, with a statement of the bookings covered. The referral fee agreed for your account is deducted from each booking.
9. Reviews
Bookers can review spaces they have actually booked. Reviews must be honest and civil. We remove reviews that are abusive, irrelevant or fake, but we do not remove reviews just because they are negative.
10. Disputes between bookers and providers
If something goes wrong, contact us within 48 hours of the booking. We will look at the evidence from both sides and decide whether a refund, partial refund or no refund applies. Our decision on platform refunds is final, but it does not take away either side’s legal rights.
11. Our responsibility to you
The workspace itself is the provider’s responsibility, as section 3 explains. Workabout is responsible for running the platform with reasonable care and skill.
We are not liable for business losses such as lost profit or lost opportunity. Nothing in these terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or your rights as a consumer.
Our total liability to you for any booking is limited to the amount you paid for that booking.
12. Ending your account
You can close your account at any time. We can suspend or close accounts that break these terms, after telling you why unless the breach is serious. Closing an account does not cancel existing confirmed bookings, which stay governed by these terms.
13. Changes to these terms
We may update these terms. For significant changes we will give you at least 14 days’ notice by email or in the app. Changes do not apply retroactively to bookings already confirmed.
14. The legal bits
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If part of these terms turns out to be unenforceable, the rest still applies.
